The International Dairy Federation

The International Dairy Federation represents the global dairy sector and ensures the best scientific expertise is used to support high quality milk and nutritious, safe and sustainable dairy products. IDF’s mission is to help nourish the world with safe and sustainable dairy. The organisation is a leading source of scientific and technical expertise for all stakeholders. It also works closely with NGOs and IGOs around the world and engages stakeholders in productive activities and research projects to further current knowledge and science on a wide range of issues. Today, dairy is one of the most vibrant and strategic sectors, with a major impact on national economies, public health and the environment. Through its working bodies, events and work programme, IDF provides a common platform, systems and processes for the global dairy sector to come together to reach consensus. Core Duties

  • Strategic communications and engagement direction, planning and execution.
  • Communications with IDF members
  • Proactive and reactive media management.
  • Website management and corporate publications
  • Branding and corporate identity
  • Coordination with Science & Standard Program Managers and other team members

Qualifications

  • Professional qualification or relevant experience
  • Educated to Masters or Honors level in relevant subject or equivalent level of experience
  • Significant evidence of continued professional development

Experience

  • Minimum of 10 years experience in communications and some management experience
  • Proven experience of working collaboratively with a range of external and public organizations, including governmental and non-governmental organizations
  • Experience with international organizations an advantage

 

Knowledge

  • Advanced knowledge of planning, implementing and evaluating communication strategies
  • Up to date knowledge of a broad range of current communication practices, tools and techniques to support the above

Skills and capabilities

  • Strong external communication skills, with experience of handling media and political relationships
  • Exceptional communicator, able to create impact and demonstrate proactive relationship management
  • Excellent written and oral English. Ability to write and speak French or other languages is an advantage

Position is based at the IDF Head Office in Brussels. Salary and benefits are market comparable.

1. Position Purpose and responsibilities 

1. a) Main purpose

The Administrative Assistant shall play a key role to support IDF Team to deliver on its mandate.

1. b) Principal duties and responsibilities

The Administrative Assistant’s duties and responsibilities include:

  • Manage IDF calendars: events, planning, publications and communications
  • Support to Science team, through mailings, compilation of data and summaries
  • Updating the IDF database
  • Support IDF communications activities:
  • management of the image bank (sourcing, updating)
  • monitoring of Communications inbox twice a day
  • update Communication planner weekly
  • Update website and intranet, including uploading of documents, sending out mailings, alerts, etc.
  • Publications
  • Support for finalization of publications, including some layout using InDesign
  • Support communications & promotion
  • Maintain list of publications (both in development and completed) up to date
  • Manage e-shop: sales, subscriptions; tracking and reporting on sales and subscriptions figures
  • Manage catalogue
  • Support to IDF events
  • Support to Office management
  • Responsible for IDF archives management

 

2. Knowledge and experience

The Administrative Assistant shall have the following education and skills:

  • An Assistant bachelor degree/diploma or equivalent skills through work experience
  • 0-3 years of working experience
  • computer skills (Office, website, intranet, basic Mail Chimp, InDesign and CMS databases)
  • good command of written and spoken French and English, additional languages are an advantage
  • experience in logistic of virtual meetings and events is an advantage 

 

3. Job environment

The Administrative Assistant’s duties and responsibilities are performed within the scope of the IDF Head Office activities.

4. Accountability

  • The Administrative Assistant shall report to the Office & Members Manager
  • A regular appraisal of the Administrative Assistant’s performance shall be carried out by the Manager.

 

5. Duration

This is a permanent employee contract position (Belgian CDI 38 hours a week)

6. Location

The position could be based at the IDF Head Office in Brussels.
